| Francis Howell R-III School District, located in St. Charles County (MO), serves more than 18,000 students at 23 schools and centers. With a $161 million operating budget and about 2,200 employees, Francis Howell School District is entrusted with the enormous responsibilities of providing students with an excellent education while exercising fiscal responsibility for taxpayers’ dollars. |
| The Challenge |
When Document & Network Technologies (DNT) conducted its comprehensive evaluation of the District’s document systems in February 2006, it discovered:
- More than 350 ink-jet and 250 laser printers in service, with the accompanying challenge of maintaining these printers and directing print volume to the most cost-effective solution.
- Lack of scanning capability for document sharing.
- Print shop service that relied on hard copies and couriers to get the job done, making it difficult to track utilization and job turnaround for a system generating about 1 million copies every month.
- Peak print shop production periods requiring additional labor and equipment.
- No centralized systems for purchasing supplies.

| The Solution |
DNT created and implemented a plan that improved workflow and reduced costs:
- 95 multifunction devices that print, scan, e-mail, and fax were installed. Employees are able to reduce copy volume by easily scanning paper documents to distribute via e-mail or to store on a server for network use.
Need 50 booklets of class handouts? Before, a teacher would prepare a hard copy to be couriered to the District print shop and then wait. Now, the teacher can submit the document electronically and track its production on-line, too.
- With DNT’s system in place, the District can easily monitor equipment usage and production flow, giving the District the ability to maximize output, balance workloads, and minimize investment in equipment. With DNT’s solution, if there’s an over-capacity spike in copying/printing demand, DNT will do the copying/printing for them at DNT’s production facility. DNT can also assign a production specialist to work on-site in case of a temporary staffing shortage.
- Now, all printer usage is monitored monthly and quarterly to ensure best-cost printing practices. DNT works with FHSD staff to communicate the printing data.

| The Bottom Line |
- DNT’s solution at Francis Howell resulted in a 30 percent reduction in document output costs – that’s about $600,000 in taxpayer dollars.
- With the many efficiencies in place, teachers, administrators and staff have more time and energy to devote to their more important tasks.
